ALMA/PRIMO VE TRAINING

Overview

FALSC's current contract with Ex Libris includes a variety of training opportunities for both FALSC staff and staff from our forty institutions, all before our Go-Live date in July 2021. This includes:

  • Access to all web-based training and documentation produced by Ex Libris for all of the contracted products (Alma, Primo VE, Central Discovery Index, etc.)
  • In-person training for FALSC staff and library staff from vanguard institutions in September 2020. [Note: This is contingent on library staff's ability to travel. If necessary, this training could be changed to a live, web-based training session done remotely.]
  • Fifteen (15) three-day onsite training sessions for library staff on the various components of Alma led by Ex Libris staff in the spring of 2021. These sessions will be held on campuses throughout the state and available to library staff in each area.
  • A special training session on dealing with multiple time zones for a single institution. Alma's configuration allows for each institution to designate a particular time zone. However FALSC has one or two institutions that have campuses in two different time zones.
  • Specific training on configuring Alma and Primo VE for joint use facilities between colleges and universities.

What is Available Now?

All of Ex Libris' online training and documentation is freely available on the web at https://knowledge.exlibrisgroup.com. From the menu that appears, click on either Alma or Primo to see a full list of documents and training sessions.

As most staff from FALSC libraries are not familiar with Alma, we recommend that all staff begin with the web training called Getting to Know Alma located at https://knowledge.exlibrisgroup.com/Alma/Training/Getting_to_Know_Alma. The session is broken down into several components (Acquisitions, Circulation, Cataloging, etc.). The whole course will take about 2-3 hours to complete.

Onboarding Phase

April - June 2020

  • Finalize project plan with Ex Libris
  • Choose vanguard institutions
  • Ex Libris provision test environment
  • Form Implementation Team and Working Groups

Vanguard Phase

July - October 2020

  • Extract Bib data from Aleph and all other data from vanguard libraries and load into Alma
  • Review converted data for all vanguard libraries in Alma
  • Set up Primo VE views for the union catalog and vanguard libraries
  • Set up and test all necessary 3rd party connections for vanguard libraries
  • Provide online and in-person training (if possible) for FALSC and vanguard libraries' staff
  • Analyze conversion procedures and revise as necessary

Full Testload Phase

November 2020 - April 2021

  • Extract all data from Aleph and load into Alma
  • Review converted data in Alma
  • Set up Primo VE views for the union catalog and all libraries
  • Set up and test all necessary 3rd party connections for all libraries
  • Provide online and in-person training (if possible) for library staff
  • Analyze conversion procedures and revise as necessary

Go-Live Phase

May 2021 - July 2021

  • Perform Final extraction of all data from Aleph and load into Alma
  • Perform final setup for Primo VE views for all libraries
  • Freeze all current activity on Aleph/Mango
  • Switchover to Alma/Primo VE - July 13, 2021
