DISCUSSION GROUPS

Overview

For every working group, there is a corresponding discussion group that is open to interested staff at all institutions. Members of the local libraries’ implementation teams should participate in all Discussion Groups pertinent to their local role(s). A listserv has been created for each discussion group, and all working groups will be required to post notes from their meetings there as well as any questions or concerns on their related topics. It is anticipated that many of the working groups will want to have periodic web sessions where progress on various issues can be reported and live discussions about configuration and workflow decisions can take place. Library staff will be encouraged to participate in these discussion groups by signing on to the listservs where they have expertise and actively participate.

Circulation/Resource Sharing Development of all circulation and interlibrary loan related functionality; including patron data, check out procedures, fines and notices, data conversion, and all relevant reports. Discussion Group
Discovery Interface Development of the new discovery tool's public interface, including the look and feel of the union catalog as well as make recommendations on how each institution sets up its local interface, usability testing and instructional design for the discovery interface. Development of the new tool's back-end configuration, including bib records, data mapping for MARC and non-MARC data, OAI-PMH harvesting, knowledge base configuration, link resolution, and authentication. E-Resources Management Development of electronic resource management functionality. Discussion Group
Joint Use Development of services and policies related to joint-use facilities, namely those that involve college and university institutions. Discussion Group
Systems/Reports Development and delivery of reports, access and permissions, printing, batch loading, data conversion, and interoperability with enterprise systems, such as Banner and PeopleSoft. Discussion Group
Training Development and delivery of training and documentation activities associated with this implementation. Discussion Group

Onboarding Phase

April - June 2020

  • Finalize project plan with Ex Libris
  • Choose vanguard institutions
  • Ex Libris provision test environment
  • Form Implementation Team and Working Groups

Vanguard Phase

July - October 2020

  • Extract Bib data from Aleph and all other data from vanguard libraries and load into Alma
  • Review converted data for all vanguard libraries in Alma
  • Set up Primo VE views for the union catalog and vanguard libraries
  • Set up and test all necessary 3rd party connections for vanguard libraries
  • Provide online and in-person training (if possible) for FALSC and vanguard libraries' staff
  • Analyze conversion procedures and revise as necessary

Full Testload Phase

November 2020 - April 2021

  • Extract all data from Aleph and load into Alma
  • Review converted data in Alma
  • Set up Primo VE views for the union catalog and all libraries
  • Set up and test all necessary 3rd party connections for all libraries
  • Provide online and in-person training (if possible) for library staff
  • Analyze conversion procedures and revise as necessary

Go-Live Phase

May 2021 - July 2021

  • Perform Final extraction of all data from Aleph and load into Alma
  • Perform final setup for Primo VE views for all libraries
  • Freeze all current activity on Aleph/Mango
  • Switchover to Alma/Primo VE - July 13, 2021
