ALMA/PRIMO VE IMPLEMENTATION

Overview

On March 12, 2020, FALSC/FLVC, along with our previous parent organization, the University of West Florida, we completed a multi-year contract with Ex Libris, Inc. for the implementation of the Alma and Primo library products. This next-generation library system leverages cloud-based services and offers a responsive, scalable web and mobile design. This upgrade, funded by the Florida legislature, will expand access to materials and improve the user experience for students, faculty, and staff. This upgrade will also improve the ability of library staff to find, track, and share material, to process requests for new acquisitions, and to analyze usage.

FALSC anticipates that the new library system will be implemented for all Florida public colleges and universities in July 2021. This goal will not happen without the full cooperation of the FALSC and FLVC staff, the assistance of the library staff from all 40 institutions, and the guidance of the staff from the vendor, Ex Libris.

In order to implement all facets of Alma and Primo VE, FALSC is using a similar organizational structure that was used in the previous implementation. This structure incorporates the use of an overall Implementation Team, eight Working Groups whose focus is on a particular aspect of the ILS, eight corresponding Discussion Groups who assist their corresponding Working Group, a high level Steering Committee, and 40 ILS Coordinators which represent each of our institutions. Details on the roles and responsibilities for each of these are explained in FALSC's Organizational Framework for ILS Implementation document.

During this implementation, FALSC will use this section of our website to show how we have organized ourselves to complete this important project, to provide status reports on our progress, and to outline what's next in reaching our goal of fully implementing Alma and Primo VE. Onboarding Phase

April - June 2020

  • Finalize project plan with Ex Libris
  • Choose vanguard institutions
  • Ex Libris provision test environment
  • Form Implementation Team and Working Groups

Vanguard Phase

July - October 2020

  • Extract Bib data from Aleph and all other data from vanguard libraries and load into Alma
  • Review converted data for all vanguard libraries in Alma
  • Set up Primo VE views for the union catalog and vanguard libraries
  • Set up and test all necessary 3rd party connections for vanguard libraries
  • Provide online and in-person training (if possible) for FALSC and vanguard libraries' staff
  • Analyze conversion procedures and revise as necessary

Full Testload Phase

November 2020 - April 2021

  • Extract all data from Aleph and load into Alma
  • Review converted data in Alma
  • Set up Primo VE views for the union catalog and all libraries
  • Set up and test all necessary 3rd party connections for all libraries
  • Provide online and in-person training (if possible) for library staff
  • Analyze conversion procedures and revise as necessary

Go-Live Phase

May 2021 - July 2021

  • Perform Final extraction of all data from Aleph and load into Alma
  • Perform final setup for Primo VE views for all libraries
  • Freeze all current activity on Aleph/Mango
  • Switchover to Alma/Primo VE - July 13, 2021
